Who we are

This website and the services described in it are operated by FairReputation [TODO: legal entity name], [TODO: registered address] ("FairReputation", "we", "us"). For anything about this notice or your personal information, email privacy@fairreputation.com.

What we collect

We collect information in three ways.

  • Information you give us. Your name, email address and phone number; the name and location of your business; what you type to the audit assistant; the reviews you select; and, if you become a client, the information in your engagement agreement. Payment card details are entered directly into Stripe, our payment processor, and are never stored on our systems.
  • Information collected automatically. Your IP address, approximate location derived from it, device and browser type, the pages you view, how you interact with them, the site or campaign that referred you, and campaign identifiers in the address (for example utm parameters or ad click ids). We use PostHog for product analytics. We do not currently use third-party advertising cookies on this site; if we add them, we will update this notice and provide an opt-out.
  • Public information about your business. To run the audit we look up your business on Google Maps through Google’s official Places API and read the public reviews on that listing, including reviewer display names and review text, using a review-collection service. We only read what any visitor to your listing can see.

How we use it

  • To run the free audit: find your listing, show you its reviews and a quote.
  • To contact you about your request, by email, phone or text, and to follow up on it.
  • To provide the removal service if you become a client, including preparing reports to Google about the reviews you approved.
  • To take payment and send receipts through Stripe.
  • To understand how the site is used and improve it, and to measure which campaigns bring visitors.
  • To comply with the law, enforce our terms, and protect our rights and yours.

The audit assistant and automated ranking

The audit assistant is automated. Your messages, the reviews it shows you and the details you enter are processed by third-party AI models through OpenRouter to generate its replies, and by a second model that estimates how likely each review is to be removed under Google’s policies. Those estimates are hints to help you choose; they are not a decision about you, a guarantee, or legal advice, and a specialist reviews everything before any work starts. Please do not type sensitive personal information (such as health, financial or government identifiers) into the assistant; it does not need it.

Who we share it with

We do not sell your personal information, and we do not share it with third parties for their own marketing. We share it only with providers that process it on our behalf, under contracts that restrict what they can do with it:

  • Cloudflare (hosting, security and databases).
  • GoHighLevel (our customer relationship management system, where your request and follow-up are recorded).
  • Stripe (payments, receipts and fraud prevention).
  • OpenRouter and the AI model providers it routes to (the assistant’s replies and the review ranking).
  • Google (the Places API used to find your listing), Apify (collection of public reviews) and PostHog (analytics).
  • Email, telephony and messaging providers used to contact you.

We may also disclose information when the law requires it, to protect anyone’s safety or rights, or as part of a merger, acquisition or sale of assets, in which case this notice continues to apply.

Texts and calls

When you submit your details you agree that we may contact you about your request by email, phone and text message at the number you provided. Message frequency depends on your request; message and data rates may apply. Reply STOP to any text to stop receiving texts, or HELP for help. Consent to marketing texts is not a condition of buying anything from us. We do not sell or share mobile numbers or consent for text messaging with third parties for their marketing.

How long we keep it

We keep your request and audit transcript for as long as we need them to handle your request and, if you become a client, for the duration of our relationship plus the period required by tax, accounting and legal obligations (generally seven years for billing records). Analytics data is kept in aggregated or pseudonymized form. You can ask us to delete your information earlier; see your rights below.

Your privacy rights

Depending on where you live, you may have the right to access the personal information we hold about you, to receive a copy of it, to correct it, to delete it, to opt out of targeted advertising or the sale or sharing of personal information (we do neither), and not to be treated differently for exercising these rights. Residents of California, Colorado, Connecticut, Virginia, Texas, Oregon and other states with privacy laws have these rights under their state law; you may also appeal a decision we make about a request.

To exercise any of them, email privacy@fairreputation.com from the address you used with us, or tell us another way to verify it is you. An authorized agent may act for you if they show us your written permission. We respond within the time the applicable law allows, usually 45 days.

Children

Our services are for businesses and their authorized representatives. We do not knowingly collect personal information from anyone under 18. If you believe a minor has given us information, email us and we will delete it.

Security

We use encryption in transit, access controls and reputable providers to protect your information. No system is perfectly secure, so please contact us right away if you believe your information has been compromised.

Where your information is processed

Our providers process information in the United States and, for some services, in the United Kingdom and the European Union. By using the site you understand that your information may be processed outside the state or country where you live.

Visitors from the UK and the European Economic Area

If you are in the UK or the EEA, FairReputation [TODO: legal entity name] is the controller of your personal information. We rely on the following lawful bases: performing a contract or taking steps at your request before one (handling your request and providing the service), our legitimate interests (running and improving the site, measuring campaigns, preventing fraud), consent (marketing texts, and any non-essential cookies we may add), and legal obligations. You have the rights of access, rectification, erasure, restriction, portability and objection, and the right to withdraw consent at any time and to complain to your data protection authority, such as the UK Information Commissioner’s Office. Transfers outside the UK and EEA are protected by standard contractual clauses or an equivalent safeguard.

Changes to this notice

We will post any changes here and update the date at the top. If a change materially affects how we use your information, we will tell you by email or a notice on the site before it takes effect.
